Know what comes next.

Task Studio gives your Apple Reminders a simple workflow. Capture a thought, work on it, follow up when someone else needs to act, or save it for later.

It works with the reminders you already use. Changes made in Task Studio are changes to those same reminders, not a separate task database.

Inbox

Collect new tasks before deciding what to do with them.

Working on

Keep the tasks you are actively doing in one place.

Waiting

Record who you are waiting for, how to follow up and when.

Later

Keep ideas and future tasks out of your current focus.

Move tasks by dragging them between statuses, or edit the status directly. Select several tasks when you want to move a group together. Tap the completion circle to mark a task done; tap its text or edit icon to change it.

  1. 01 · CONNECT

    Choose your inbox.

    Allow access to Apple Reminders. Use an existing list as your inbox, or create an area with its own inbox.

  2. 02 · ORGANISE

    Give each task a place.

    Add a title and notes. Choose its area and status. Move tasks into Working on, Waiting or Later as things change.

  3. 03 · FOLLOW THROUGH

    Finish or follow up.

    Mark completed work done. For Waiting tasks, keep the person, contact method and next reminder together.

Separate work from personal life.

Create areas such as Work, Personal or a project. Each area has an inbox and its own status lists. Link an existing list or create a new one; status lists are created when you first need them.

Follow up with a plan.

Move a task to Waiting and enter the person and contact method. Task Studio suggests a reminder after three weekdays at 08:30 by default. Change that date for a task, or adjust the default in Settings.

Your next step, on your Home Screen.

Small, medium and large widgets show a chosen status and area. Each widget has its own area selection. Optionally schedule up to three areas to appear at different hours throughout the day.

Capture with Siri.

Ask Siri to add a reminder to your area’s actual inbox list. For example: “Add book the dentist to my Personal list.” Task Studio then shows it in that area when the reminder becomes available.

Confirm the team’s travel booking

Move it to Waiting. Enter Alex as the person and Email as the contact method. Review the suggested follow-up date or choose your own.

When Alex replies, move it back to Working on or mark it complete.

Contact methods are labels to help you remember how to follow up. Task Studio does not automatically send emails or messages.

A routine that fits your day.

Follow the system appearance or choose light or dark mode. Show or hide notes on cards, choose your start view and customise the contact methods used for Waiting tasks. The app and widgets support Swedish, English and Spanish, following your system language. Spanish is shared across Spain and Latin America.

Reminders sync through the account that stores your lists, such as iCloud. Area settings stay local to each installation, so link the same inboxes again on another device. iOS controls widget refreshes and scheduled changes; they are not guaranteed to happen at an exact minute.
